Building an Integrated Education CRM and Operations Platform
Author: YFC Solution (organisation). Reviewer: YFC Solution delivery team. No student names, staff credentials, private IDs, internal URLs or revenue figures are included.
Business context
Training organisations and online academies often sell programmes while operations still run on spreadsheets, Instagram DMs and a founder’s WhatsApp. This draft describes an integrated platform shape we assemble from capabilities already listed on the industries and automation pages: learning portals, WhatsApp lead handling, n8n workflows and operational dashboards. It is not a named Azerbaijan school.
Lead-management challenge
Enquiries arrive from the website, ads and chat. Without a pipeline, nobody can say how many trials were offered this week or which advisor owns a parent conversation.
Assessment and conversion process
Staff need stages such as new, contacted, trial booked, enrolled and lost — with reasons. The public site should collect a brief; the CRM should be the record of truth.
Student and family management
Families, guardians and students are related records. Siblings should not create duplicate invoices. Children’s personal data is not used in marketing analytics or public screenshots.
Class scheduling
Groups need a calendar that respects rooms or Zoom capacity and tutor availability. Double-booking is an operations failure, not a ‘nice to have’ report.
Tutor management
Tutors see their assignments; they should not see every family’s billing history unless that is their role.
Zoom integration
When delivery is online, session links should be generated or stored against the class record rather than pasted into a dozen chats. Zoom is listed because it is a common education integration, not because every client uses it.
Billing and payments
Invoices or payment statuses belong next to the enrolment. Payment providers are contracted by the school. Revenue totals are not published here.
Reporting
Operational counts (pipeline, attendance, sessions delivered) for staff. Outcome marketing metrics stay unpublished until approved.
Technology
Typical stack options already published by YFC Solution include Next.js portals, n8n automation, WhatsApp API, PostgreSQL or agreed datastores, and Oracle APEX dashboards where that reporting layer is the agreed fit.
Security
Role-based access, staging vs production, and no student PII in public case-study media. See the security page.
Outcome
Metric pending business approval. Until a named organisation signs off results, this page remains a capability draft and is served with noindex.
